Short answer
Send reminders to clients who agreed to hear from you, one at a time, with your own name, the policy and the real date. Stop when someone asks you to. Keep promises out of it: no "best", no "guaranteed", no rate the insurer has not given.
A reminder that works
Short, one fact, your name at the end. This is the default text Bima Diary writes for a health renewal, with sample details:
Hello Ramesh, your health policy with Sample Insurance ends on 20-11-2026, 6 days left. Please tell me soon to renew.
— Your Name
Before you send
- Get agreement first. WhatsApp's business policy says to contact people only if they gave you their number and opted in, and to respect any request to stop, on or off WhatsApp. Ask at the time of sale, and note it down.
- Say who you are. The agent code of conduct, as reproduced on one insurer's page, asks you to identify yourself and your insurer.
- Only the insurer's figures. The same code says not to offer rates or terms other than the insurer's. Say "last premium" rather than guessing the new one.
- Never your commission. It has no place in a reminder. If a client asks, the code says to disclose it, in person.
Reminder or advertisement?
A due-date reminder to your own client is one thing. A post selling a plan is another. A law firm note on the 2024 rules says advertisements by distribution channels need internal approval from the insurer, and bars misleading claims, ranking claims and unsourced ratings. Trade press in 2023 reported that insurers require agents to use only approved content on social media. So do not send homemade plan posters, comparisons or return figures.
For anything linked or with bonus, the same note says the advertisement must state that bonuses are not guaranteed and that market risk lies with the policyholder.
When to send
No rule we read sets a timing. These are the defaults Bima Diary works to. They are how the app is built, not a legal limit.
| What is due | Shows on Home |
|---|---|
| Policy renewal | 30 days ahead, and for 90 days after it lapses |
| RTO document | 15 days ahead |
| Maturity or money-back date | 60 days ahead |
| Birthday or wedding anniversary | 7 days ahead |
IRDAI's motor page advises going to the insurer at least 15 days before expiry, so a first reminder before that gives your client room.
Sending one at a time
A WhatsApp click-to-chat link opens a chat with the message already typed, and you press send. That is how Bima Diary works: it never sends anything by itself. You read each message first, which catches a wrong name or date before your client does.
What not to do
- Do not message people who never gave you their number, or a list bought from someone.
- Do not keep messaging someone who asked you to stop.
- Do not send a client's policy or KYC to anyone but that client.
- Do not say "last chance" unless it is: a real date is enough.
Common questions
Do I need permission to send a WhatsApp reminder?
WhatsApp's business policy asks for opt-in before you contact someone. Ask your client when you sell the policy, and keep a note of it.
Can I send a plan comparison to clients on WhatsApp?
Insurers and the 2024 rules, as reported, require approved content from distribution channels, and bar ranking claims. Use only what your insurer has approved.
Does Bima Diary send messages automatically?
No. Every WhatsApp or SMS opens with the message written, and you read it and press send yourself. WhatsApp and SMS renewal reminders are on the Plus and Pro plans.
Should a reminder mention the new premium?
Only if the insurer has given it. Otherwise mention the last premium, or none.
